A Client Onboarding Checklist for Small Businesses

Use a practical client onboarding checklist to confirm customer details, expectations, the first service date and a clear team handover.

By American Peak SaaS · A practical starting point for small teams

A customer has agreed to work with you. The next job is to make the first service clear for both sides. A short onboarding checklist helps your team collect the right details, confirm expectations and prepare the handover.

Keep the checklist focused on the first service

Start with the steps you actually need to deliver the work. A long checklist can be harder to maintain than a short one with clear owners. Keep optional information separate from the details that are needed before the first visit or project starts.

A practical client onboarding checklist

  1. Confirm the main contact. Record the customer’s name, business name and preferred contact details. Check who can answer questions and approve changes.
  2. Confirm the agreed work. Make sure both sides understand what is included, what is excluded and what a successful first service should look like.
  3. Confirm commercial details. Check that the customer understands the agreed price, payment arrangements and any terms you have already provided.
  4. Collect the information needed to begin. Ask for the service location, access arrangements and relevant instructions. Collect only what your team needs for the work.
  5. Agree the first date and next step. Confirm the appointment or start date, who needs to be present and anything the customer should prepare.
  6. Assign responsibility. Name the team member who will complete each internal task. Make the handover clear if someone else will deliver the service.
  7. Check readiness. Review the checklist before the first service. Resolve missing information rather than assuming someone else has it.
  8. Close the first service loop. Record what is complete and identify any agreed next action, such as a service renewal or follow up visit.

Write tasks that are easy to complete

“Get customer ready” is difficult to check. “Confirm access arrangements with the main contact” gives a team member a specific action. Use a short verb at the start of each task, such as confirm, collect, review or arrange.

A welcome message you can adapt

Hi [Name], thank you for choosing [Business]. We have agreed to [brief scope]. The next step is [action], and our planned start date is [date]. Before then, please confirm [required detail]. Your main contact is [name and contact method]. Please let us know if anything changes.

Send the message after checking that the details match the agreement. Keep the customer’s response with your normal business communications.

Keep internal work separate from customer instructions

Your team may need preparation notes that the customer does not need to see. Keep those notes clear and relevant. Do not use an ordinary checklist to store passwords, payment card details or unnecessary sensitive information.

Before the handover, ask: does the person doing the work know what is agreed, where to go, who to contact and what remains unfinished?

Use one checklist your team can return to

Client Onboarding lets your team create a checklist, record a due date and see completed and outstanding tasks. Start with a few useful steps, then adjust them as you learn what your business needs. The checklist is managed by your team; it is not a customer portal.

When the first appointment is ready to plan, Service Preparation can keep the visit details and preparation tasks together.

Give the next step a place to live.
